    Central Admixture Pharmacy Services, Inc. (CAPS®) is the nation's largest network of outsourcing admixture pharmacies. CAPS, a pioneer in the outsourcing of compounded sterile preparations was founded in 1991.


    State-licensed and FDA-registered, CAPS pharmacies deliver solutions from more locations than any other national compounder. CAPS provides both custom and standard solutions to hospital and outpatient providers from our 25 locations across the United States. Making over 300,000 local deliveries annually, CAPS pharmacies operate 365 days a year to dispense labeled, patient-specific and anticipatory IV prescriptions to our health system pharmacy customers.

We perform environmental monitoring, regular process validations, and daily process sterility testing as part of our routine Continuous Quality Assessment and Improvement Program.


    The CAPS service is focused on the daily admixing, dispensing, and delivery of a variety of CSPs. CAPS uniquely trained and licensed pharmacy personnel compound a broad range of patient and non-patient specific CSPs embracing the latest compounding technology, including proprietary software for ordering prescriptions and barcode safety checks for automated and manual compounding processes.


    Each CAPS pharmacy is managed by a pharmacist with well-established compounding expertise. These directors manage a team of licensed pharmacists and certified technicians trained on CAPS Standard Operating Procedures. CAPS employs a QA team of chemists, microbiologists, and on-site quality assurance personnel who are accountable independently from the admixture staff. Quality Assurance reports are provided to our clients on a quarterly basis.


    Orders are sent via CAPSLink, a web-based proprietary ordering software that can manage both complex and patient-specific prescriptions like Parenteral Nutrition (PN) and anticipatory compounded (AC) non-patient-specific order requests. CAPS ordering system can also interface with your pharmacy management software for convenience and broader custom service options. Pharmacists review orders upon receipt and prepare your order using an automated compounding process and a bar coded manual-add-system (MAS) to verify ingredient accuracy.


    CAPS mixes to order so you can be assured your order is freshly compounded and has maximum beyond use dating (BUD) when delivered. CAPS has a variety of delivery options including same day and next day services.


    Position Summary:

    The Procurement Coordinator exists to ensure proper inventory administration of the facility through purchasing and warehousing materials, ensuring that vendor services are performed on time, and that invoices are processed per CAPS policy.  This position also performs duties of an Office Assistant and is called upon either on a regular or as needed basis.



    Responsibilities: Essential Duties

    • Keep SAP updated with all vendor and product information; and procure orders
    • Maintain compliance with drug supply chain traceability in RFXCEL to comply with CAPS policy and the Drug Quality and Security Act.
    • Count, record, and report monthly inventory.  Maintain inventory in a manner to reduce waste and delivery costs by establishing and maintaining par levels, monitoring expiration dates, and keeping up with back orders and changes in usage. 
    • Order raw materials, supplies and services as needed.  Maintain contract compliance with established CAPS and GPO agreements.  Coordinate activities with CAPS central procurement office and other CAPS facilities to resolve supply issues.
    • Produce purchase orders in SAP.  Reconcile invoices and pricing against purchase order.  Process P.O.s, packing lists and invoices according to A.P. procedures so that invoices can be paid by B.Braun A.P; resolve variances and questions on purchases and inventory
    • Receive and reconcile inventory against purchase orders in SAP.  Process returns and credits as needed.  Process incoming raw materials and supplies utilizing the receiving, quarantine, and release procedures.
    • Monitor and reconcile inventory removed for production against SAP inventory levels.
    • Maintain, local purchasing contract notebook, purchasing files, and vendor files.  Monitor service levels and follow up with vendors as needed. 
    • Set up, maintain, order, receive, reconcile, inventory and report on consignment raw material and supplies.
    • Ensures compliance with applicable regulatory guidelines and requirements such as Robinson Patman/class of trade issues, and other ethical issues.  Updates facility license compliance with vendors.
    • Work with Quality Unit to receive all required documentation for raw material release.Receive and examine all recall notices.  Work with Quality Assurance to properly document and return any affected materials.
    • Process returns and inter-company transfers as needed. 
    • Receive deliveries from trucks as needed.
    • Maintain purchasing records.
    • Other duties as assigned by CAPS Manufacturing Operations Manager, Director of Pharmacy and QA Manager.



    Expertise: Knowledge & Skills

    • Department policies, group purchasing organizations, prime vendor wholesalers, economic order quantities, minimum order levels, safety stock, office procedures, quality standards, accounting practices, filing techniques.
    • Demonstrate through work experience the ability to organize work, meet deadlines, work independently, exercise initiative, and communicate effectively.
    • Administrative skills and experience; ability to perform Office Assistant duties. Knowledge of computer software (Excel, Word, and wholesaler ordering software).
    • Use of a computer/internet.
    • Experience with stocking, unpacking, packaging, organizing, troubleshooting.


    Expertise: Qualifications - Experience/Training/Education/Etc



    • High school diploma or equivalent
    • A minimum of one year experience with procurement to include purchasing systems/electronic ordering systems, inventory management, and accounts payable.



    • SAP experience.
    • Ability to operate a pallet jack and fork lift
    • College or technical degree.
    • Experience working in a cGMP environment.



    While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to use hands to handle or feel and reach with hands and arms. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 20 pounds.
