    Responsibilities

    Position Summary:

     

    Corporate: Develop and execute all external corporate meetings for all SBAs and Functional Groups to include, but not limited to: National and Regional Sales Meetings, Advisory Board Meetings, Speaker Dinner Programs, Co-Marketing Events, Sales Awards Trip and Employee Events. Responsibilities include design, develop, manage and produce meetings and events from start to finish.

     

    Conventions:  Development, execution and implementation of national, local and regional conventions for Aesculap, Inc., Aesculap Implant Systems and Aesculap Biologics.

    All duties should be executed with minimal day to day direction from the Manager, Aesculap Academy, Conventions & Meetings Department.

     

    Responsibilities: Essential Duties

    Corporate Meetings Principal Duties Responsibilities:

    • Initiate meeting venues
    • Source and negotiate all hotels for Corporate Meetings through Cvent
    • Negotiate vendor contracts and manage attrition to meet budgetary targets
    • Conduct site selection
    • Set up registration websites through Cvent for all Corporate Meetings, and Academy Courses, Conventions & Company Events as requested
    • Set up mobile apps for designated Corporate Meetings
    • Organize and conduct pre-planning strategy and de-brief meetings with, marketing, and sales management
    • Manage and execute conference related services (e.g. audiovisual, food and beverage, props, printed collaterals) as needed.
    • Manage and execute housing and transportation and communicate logistics and details to program attendees, faculty, and company personnel
    • Maintain and report accurate budgetary records. Accountable for all AdvaMed and company compliance aspects of the program
    • Design agenda, essential forms, brochures and other relevant collateral with Corporate Communications Team
    • Interact with all levels of senior management
    • Report monthly to compliance on HCP spending per event
    • Maintain and report accurate budgetary records
    • Prepare and send accurate HCP invites and paperwork.
    • Conduct course evaluations and provide monthly summary reports


    Conventions Programs Principal Duties Responsibilities:

    • Develop and manage tradeshow budgets
    • Negotiate contract dollars and manage attrition to meet budgetary guidelines
    • Select booth space and execute contracts
    • Manage booth logistics, AV requirements, customer dinners and meetings held in conjunction with tradeshows
    • Implement pre-show strategy meetings, working closely with Product Marketing and Sales to establish pre-event measurements and communicate post event metrics
    • Track and report on tradeshow leads
    • Create booth layouts in collaboration with Product Marketing and exhibit house
    • Manage housing room blocks and registration
    • Supervise on-site booth set-up
    • Create tradeshow graphics, pre-show mailers and meeting invitations in collaboration with Corporate Communications and Product Marketing
    • Identify booth staff and develop booth schedule
    • Communicate show logistics to booth staff
    • Conduct on-site pre-show meetings with booth personnel
    • Conduct post show de-briefing meetings with marketing and sales
    • Coordinate and communicate with AAG on logistics for international personnel
    • Oversee that all booth staff have been properly trained before working a show
    • Compile HCP Reporting associated with trade shows/meetings
    • This position requires physically working within the home office.
    • Must present a professional appearance and conduct themselves in a professional manner.
    • Ability to work in a fast paced environment, multi-task and manage several programs simultaneously.
    • Must be a self-starter, detail oriented and able to work independently and make precise decisions on their own.
    • Strong decision making, communication, customer service, problem solving, organizational, planning and interpersonal skills.20-25% travel required for on-site management of meetings to include domestic and international travel and weekend work.
    • Must interact well with HCP customers.
    • Must constantly improve industry skills and stay informed on meeting trends
    • Must comply with applicable ISO and FDA regulations as stated in Quality Manual

    Secondary or peripheral job functions:

    • Assist the Manager, Aesculap Academy, Conventions & Meetings as needed.

    Expertise: Knowledge & Skills

    • Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization. 
    • Mathematical Skills: Ability to add, subtract, multiply, divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. 
    • Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. 

    Qualifications

    Expertise: Qualifications-Experience/Training/Education/Etc

    • Bachelor’s degree preferred or commensurate work experience
    • Minimum 5-6 years corporate meeting planning experience/ Minimum 3 years trade show experience required in a professional environment, medical industry preferred.
    • Certified Meeting Planner (CMP) desired.Familiarity with AdvaMed regulation requirements and Open Payments Reporting.
    • Requires excellent presentation, written and interpersonal communication skills
    • Must possess a high degree of energy and be a self-starter and able to juggle multiple projects
    • Must be proficient in Windows, Outlook e-mail, Excel, PowerPoint, Word
    • Experience with Cvent or Meeting Event Management Software desired
