Position Summary:


To coordinate and execute all administrative activities that support Sales Management and Regional Sales Team.


Responsibilities: Essential Duties


Marketing Support and Conferences

  • Plans conferences and work with Marketing to ensure we have all necessary tools and advertising
  • Take the lead on coordination of internal sales meetings
  • Monitor inventory level for marketing collateral
  • Provide support to Business Analyst for large RFP responses

Sales Coordination

  • Act as administrator for Salesforce.com and generate reports with Miller Heiman blue sheets
  • Schedules and monitors activities for Sales Management
  • Create & update contract management document
  • Follow-up with purchase orders and interact with US team on contract and pricing management

Office Management

  • Assist the Canadian Leadership Team on daily basis
  • File expense reports for President
  • Responsible for office management and answer calls / requests from vendors & customers
  • Answers all incoming calls, maintains all office files and distributes mail
  • Draft, type, proofread and edit correspondence, reports, memos, logs, and other forms of internal and external records and communications
  • Book weekly, monthly meetings in the office and quarterly meetings with sales & marketing
  • Makes travel arrangements
  • Lead set up and on-boarding for new employees
  • Management of all necessary documentation for Regulatory / Quality purposes
  • Other duties as assigned.

Expertise: Knowledge & Skills

  • Exceptional computer system skills, including full MS Office suite; advanced Excel skills, Word, and PowerPoint
  • Knowledge of office procedures and practices
  • Excellent oral and written communications skills are required
  • Outstanding organization skills and attention to detail


Expertise: Qualifications - Experience/Training/Education/Etc



  • Associate degree or equivalent experience
  • Bilingual English/French


  • Bachelors degree
  • Previous office management experience
  • PMP certified a plus
  • Experience of Salesforce.com a plus


While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to use hands to handle or feel and reach with hands and arms. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 30 pounds.
