Responsibilities

Position Summary:

The Accounts Payable Specialist is responsible for processing vendor invoices, verifying proper documentation and 3-way match, payment of vendor invoices and processing employee expense reports in a timely and accurate manner. The position requires working with various internal departments and external vendors to resolve invoice issues and answer invoice inquires.  The position is also responsible for issuing Checks, electronic ACH payments, Foreign Wires, and administration of Concur Travel and Expense, processing invoices in EDI, maintaining vendor master data and assisting with implementing process improvements.

 

Principal Duties Responsibilities: 

 

  • Process vendor invoices and internal check requests in a timely and accurate manner, ensure proper documentation match and approvals and obtain missing documentation as necessary.
  • Monitor discount opportunities to optimize timing of payments, based on payment terms.
  • Respond to invoice inquiries from both internal customers and external vendors.
  • Review and respond to vendor statements.
  • Maintain electronic signature routing process for invoices and ensure compliance with signature policy.
  • Assist buyers and requisitioners in resolving invoice discrepancies with the vendor.
  • Troubleshoots purchase order issues and inaccuracies by working with Purchasing Group.
  • Process weekly payment runs for checks, electronic ACH and foreign wires.
  • Train employees on Aesculap travel and expense policies and procedures.
  • Provide ongoing training and support to employees using Concur.
  • Process employee expense reports in a timely manner, ensuring adherence to the Travel and Expense Policy and HCP Compliance Regulations Policy.
  • Maintain data integrity of Concur User data base and SAP Vendor Master by creating, changing or updating.
  • Obtain W-9 data from vendors and verify master data for IRS Form 1099 reporting.
  • Issue annual 1099 reports by deadline, resolve any issues and file documents with the IRS.
  • Identify process improvements and assist with implementing enhancements, such as EDI, electronic invoicing and other initiatives.
  • Obtain and attach additional documentation as required for special expenditures including capital expenses.
  • Understand legal and compliance department’s policies and make sure payable documents for consulting and donations are processed in accordance with such policies.
  • Assist with annual audit requests as required.
  • Must comply with applicable ISO and FDA regulations as stated in Quality Manual.
  • Assist in monthly close as needed, i.e. intercompany journal entries.
  • Maintain GR/IR cleanup reconciliation on an ongoing schedule.

Preferred:

Bilingual (Spanish) skills preferred.

Qualifications

Expertise: Qualifications-Experience/Training/Education/Etc

Required:

  • H.S. diploma or equivalency required, Associate degree or higher preferred.
  • 3-5 years previous experience strongly desired.
  • Accurate data entry skills
  • Ability to proactive problem-solve with little supervision
  • Intermediate understanding of accounting principles
  • Intermediate computer knowledge required, experience with SAP is a plus

Language and mathematical skills; reasoning ability:

  •  Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization. 
  • Mathematical Skills: Ability to add, subtract, multiply, divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. 
  • Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations. 

 

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms.  The employee is occasionally required to stand and walk.  The employee must occasionally lift and/or move up to 30 pounds
