Responsibilities

Position Summary:

 

To provide administrative and project support to the Chief Financial Officer and Board Member of a $2+billion company; keeping the executive organized by managing and organizing workflow and calendars, completing project assignments as requested, scheduling meeting and travel accommodations; trouble shooting and providing a resource of knowledge of the company and its organization to all levels of management.  Demonstrated ability to effectively and professionally interface with high level executives, business associates, and employees.  Perform in a fast-paced environment with ability to operate with changing priorities.

 

RESPONSIBILITIES

Position Summary:

To provide administrative and project support to the Chief Financial Officer and Board Member of a $2+billion company; keeping the executive organized by managing and organizing workflow and calendars, completing project assignments as requested, scheduling meeting and travel accommodations; trouble shooting and providing a resource of knowledge of the company and its organization to all levels of management.  Demonstrated ability to effectively and professionally interface with high level executives, business associates, and employees.  Perform in a fast-paced environment with ability to operate with changing priorities.

 

Responsibilities: Essential Duties

  • Perform administrative and project assignments for the Chief Financial Officer (CFO).
  • Coordination and preparation of charts and spreadsheets for use in presentations and reports.
  • Process electronic and “wet” signatures.
  • Draft, type, proofread, and edit correspondences, reports, memos, and other forms of internal and external communications, while maintaining a high level of confidentiality.
  • Organize and maintain a complex calendar for executive by scheduling meetings, appointments, conference calls and events using high level of integrity and managing across different time zones.
  • Schedule internal and external meetings, luncheons, conferences, and presentations. Handle all details such as resource availability, reserving meeting rooms, setting up and coordinating videoconferencing and web conferencing, plan and order refreshments and lunches, as necessary.
  • Compile financial data as requested by CFO by coordinating with multiple departments and professionals.
  • Prepare CFO credit card or expense report for reimbursement.
  • Provide data and records to auditors, as requested. Coordinate with auditors and follow up collection of debt confirmations for annual audit.
  • Prioritize, plan and complete tasks in order to meet demanding deadlines.
  • Liaison between CFO and his direct reports.
  • Serve as financial project controller for the CFO by maintaining and following up on projects assigned to staff.
  • Schedule domestic and international travel and lodging arrangements, providing a detailed itinerary of arrangements, meetings, people involved, and any other related activities.
  • Provide light support for Treasury tasks (i.e. running daily bank activity reports and coordinate pdf reports for Tax payments.
  • Processing new credit card applications for new employees.
  • Various mail support, including rebate mail merges, UPS labels, scanning and mailing checks, etc.
  • New hire setups 
  • Order and maintain office supplies as needed.
  • Open and sort mail - route and discard as appropriate.
  • Answer and screen incoming telephone calls; take accurate messages; determine purpose and offer assistance where possible.
  • Provide backup and support to CEO when his assistant is away from her desk or out of the office.
  • Update department organizational charts.
  • Establish and maintain confidential files and records.

 

Expertise: Knowledge & Skill Requirements

  • Office procedures and practices.
  • Departmental and company policies and administrative procedures.
  • Business correspondence writing methods.
  • English grammar, spelling, punctuation and usage.
  • Word processing, database, presentation and spreadsheet software applications programs.
  • Advanced use and knowledge of entire MS Office Suite software and Internet.
  • Working knowledge of videoconferencing and webconferencing set up, use, and troubleshooting.
  • Familiar with accounting terminology
  • Basic finance/accounting
  • Para finance professional – able to perform basic finance/accounting functions under the direction of the CFO.
  • Demonstrate flexibility to take on new or unplanned tasks and responsibilities while maintaining current assignments and prioritizing appropriately.
  • Utilize business sense to perform assigned projects without supervision from initiation to completion.
  • Proactively plan to achieve timely results of assignments and projects by following instructions and taking directions through to completion.
  • Ability to interact with all levels of personnel and provide positive customer service to them.
  • Operate standard office equipment.
  • Communicate and work cooperatively with all levels of staff, management, departmental representatives, vendors, contractors and the general public.
  • Proven experience in multi-tasking and working in a fast paced high pressure environment with multiple people and priorities
  • Independently plan and complete work assignments within established deadlines.
  • Research, draft and compile records, reports, and communications.
  • Schedule meetings and conferences.
  • Arrange travel and lodging accommodations.
  • Organize and maintain filing systems.
  • Maintain the confidentiality of private company information.
  • Ability to work independently and make good decisions with little or no direction.
  • Ability to conduct and present oneself in a professional manner is required.
  • Develop SAP skills.
  • Positive attitude and strong work ethic.

Qualifications

Expertise: Qualifications - Experience/Training/Education/Etc

 

Required:

  • Five or more years of administrative and secretarial support experience.
  • Educational attainment equivalent to graduation from high school, supplemented by specialized course work or training in the use of word processing, spreadsheet, presentation, and database software application programs.
  • Must have excellent organizational, communication and interpersonal skills.
  • Ability to prioritize projects, take initiative and work independently.

Desired:

  • Previous experience in fast paced environment.

 

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to use hands to handle or feel and reach with hands and arms. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 20 pounds.
